How we handle your information

playm8 is a small web app that helps recurring badminton groups in Australia coordinate sessions and track shared costs. We collect the minimum we need to run that, and nothing more.

What we collect

When you sign in we store your email address and a display name you choose. When you join a group we store your membership and role (member, treasurer, or organizer) for that group only.

For each session you are linked to, we store your attendance status (going, opted out, attended, no-show, etc.) and any guest you bring. For each top-up you claim or cost the treasurer logs against you, we store the amount, the type, and a short note.

We do not collect bank account numbers, card details, or any payment credentials. Payment instructions a treasurer publishes (PayID handle, BSB + account, BeemIt phone, PayPal address) are stored only as text labels for members to copy — we never act on a payment.

Why we collect it

To run the core features: showing you which sessions you are on, letting members opt in and out, tracking who has paid, and producing per-period statements. We do not use your information for advertising or analytics profiling, and we do not sell it.

Where it lives

Your data is stored in a managed Postgres database hosted on Railway. Access is over TLS. The database lives in a region chosen for latency to Australian users; it is not in Australia today, but it is restricted to playm8 services.

Transactional emails (sign-in links, session changes, balances, period close notifications) are sent through Resend on our behalf. Resend sees your email address and the contents of the email we send you.

Who else sees it

Inside a group, your display name and your attendance on sessions are visible to other members of that group. Your ledger balance is visible to you and to that group's treasurer and organizer. We never show one group's data to members of another group.

If you claim an open slot on a friend's session via a shared link, the original member, the treasurer, and the organizer of that group will see your display name on the session — they need that to plan the night and reconcile the payment. Joining a session as a guest does not make you a member of that group.

How long we keep it

We keep your account, group memberships, and ledger entries for as long as your account is active. When you delete your account (see below) we anonymise your identity, remove your group memberships, and clear your future attendance, while preserving past ledger entries for the treasurer's historical record. Anonymised entries appear as “Deleted user” to everyone else.

Your choices

You can edit your display name from your profile page. You can delete your account self-serve from the same page. Deletion is irreversible.

Under the Australian Privacy Act 1988 (APP 12) you can ask for a copy of the personal information we hold about you. For now we handle these requests by hand — email support@playm8.xyz and we'll respond within a reasonable period.

If you have a concern about how your information is handled, contact us first at the same address. If we cannot resolve it you may complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes

If we change how we handle your information we will update this page and refresh the date above. Continued use of playm8 after a change means you accept the updated text.
